Before we get started on getting your BoxMate CRM linked up to Zapier there are a couple of steps you'll need to have completed first.
Step 1 - You'll need to set up a Zapier account here. Because it's Facebook Leads, this is a premium feature - https://zapier.com/app/home
Step 2 - You'll also need to have created the Facebook Ad and accompanying form that you'll be using to drive leads towards your BoxMate CRM
We work with Syncro Marketing - a specialist Gym Marketing Company who can work with you to create your paid ads and bring these into BoxMate for you through Zapier and get this all up and running for you.
If you are setting this up yourself - the steps below outline exactly how to now get set up to automatically bring the leads from the paid ad you have created on Facebook/ META into your BoxMate CRM.
Join BoxMate's Zapier

Click Accept Invite & Build a Zap to join our integration which will redirect you to the main Zap dashboard.
Next, click 'Create' and then 'New Zap' from the drop down
Which will bring you to this Zap creation page
Click on 'Trigger'

And then search 'Facebook Lead Ads'
Click on 'Facebook Lead Ads' and this will now set this as the Zap and bring you to this view with a pop up to the right.
In the above example, the Account is already showing as linked to BoxMate's Facebook account. Under 'Account' it will say 'Connect new Account' just click here and login to your facebook account which will then bring you back to this page with the account linked as in the example above.
Now, click 'Trigger event' and from the pop up click 'New Lead' which will select 'New Lead' ad the event.
Once this is in place, click 'Continue' at the bottom right.
Next, under 'Page' click on 'Choose Value'
And from the pop up, choose 'BoxMate'.
And under 'Form' - select the Facebook ad form you have already created. In this example, our Ad Form is called 'CoachAI interest form' but this will be whatever you already have named in your Facebook Ad Leads.
Again, click 'Continue' in the bottom right
And this new pop up will show - you can click 'Test Trigger' at the bottom and this will bring up any lead info that has come through the ad already and let you test bringing this into BoxMate now. If you have no leads you can create a sample one or go through as a test yourself.
Select one of the leads and in the pop up to the left you will see all the 'raw' data that was collected by the Facebook ad. Now, click 'Continue with selected record' at the bottom.
And now we just need to split the 'Raw Full Name' field into a 'First' and 'Last' name field to pull it across to your BoxMate CRM.
To do this, from the next pop up select 'AI by Zapier'
This prompt builder will now show with 'Custom Prompt' and 'GPT-4o mini' already selected.
Click on 'Input Fields' and from the pop up to the right type 'Full Name' into Field Name
Then click the plus next to 'Field Value' and select 'FULL NAME' and save.
Into the prompt type 'Split into first and last name' and then 'generate from prompt'.
Which will now show these two fields as separate in your 'Output fields'.
You can then click on the right to 'Generate a preview' of this output.
Which will then display the output for you as below:
At the top, click the arrow next to 'next step'
This will now take you back to the full page and show you the outputs you have generated to bring into BoxMate.
Under the main journey, click the plus button and 'add step'.
And from the pop up start typing 'BoxMate' and select BoxMate
Which will now show in the list
Next, on the right, click 'Action Event' and choose 'Create Lead' from the pop up at the left.
And under 'Account' from the pop up you will need to click 'Connect a New account'. In this example image BoxMate is already showing as we have previously connected - but as this is the first time for you, you'll just need to authorise it this first time.
You will be redirected to your BoxMate account, simply click 'Authorise' and then you'll be taken back to Zapier.
BoxMate will now show for you to choose when you click 'Account' and once you've selected this you can click 'Continue' at the bottom.
Now, as a final step, we simply need to tell the form exactly what information we want it to bring from our Facebook Lead into our BoxMate CRM.
So, for the 'First and Last' name fields we need to click the plus button and then 'Analyze and return data in AI' as these were custom fields we created. So, click on that option from the pop up.
And then select 'First name' on the first name field. and 'Last name' on the last name field.
So this will now show like this.
For the email and phone fields, we can gather this from the regular field straight from the Facebook AD - so do the same process and choose the email / phone to input those required fields.
Now, on the right it will show like the below with all the required fields for your BoxMate CRM complete.
Now you can see the full list of data we will be sending to the BoxMate CRM from our Facebook Ad Lead and we can click to 'Test Step' which will go ahead and send this lead straight to BoxMate. So, click to test.
And by jumping into our BoxMate CRM we will see the lead we have just sent across as a test and a clear tag to let us know this has come from Zapier.
Now, back on Zapier, whenever you are happy with the information being pulled into the BoxMate CRM you can click 'Publish' and this will now be live for any leads coming through your Facebook/ META ad and they will pull straight through into your BoxMate CRM.
