Admin Permissions Explained

This guide explains each admin permission on BoxMate, who can manage them, and what access each permission grants to your coaches and administrators.

📝 Overview

BoxMate supports individual coach logins, each of which can be configured with a custom set of permissions. These permissions control which areas of the app each coach or administrator can access, from programming and communications through to business health data and account settings.

As the root admin (the account owner), you have full control over the permissions of every other coach and administrator on your account.

If you are a coach or administrator who needs access to a different area of the app, you will need to ask the root admin to update your permissions.


🔑 Authorizations

Only the root admin can change administrator permissions. If you are not the root admin you will need to ask the root admin to make any changes on your behalf.


🛠️ How To Manage Permissions

To update the permissions of a coach or administrator, navigate to Administrators from the sidebar menu. Click the three dots next to the name of the account you want to update, then open their profile page. You will see a list of permission toggles you can switch on or off.

Below is a breakdown of each available permission and what it allows a coach or administrator to do.

Members

Gives the coach access to the members list, including the ability to view member information such as full name, email address, and membership type. It also enables account management actions including approving pending member accounts, suspending members, deleting accounts, and promoting members to coach status. This permission must also be enabled for coaches to create groups and move members into them (PLUS feature).


Engagement

Gives the coach permission to set and view goals for members, and to set up challenges in the app for members to enter.


Programming

Gives the coach access to all programming. This includes viewing, building, editing, and deleting sessions, adding exercises to the library, and announcing programming.


Media

Allows coaches to upload images and videos to BoxMate for sessions, exercises in the library, and communications such as news posts.


Communications

Covers all communications excluding messaging. With this permission enabled, coaches can send news posts, nudges, questions, and spotlights to all members. To create a group and send communications to it (PLUS feature), coaches also need the Members permission enabled.


Messaging

Messaging has its own set of permissions as it enables coaches to talk one-on-one with members. You can choose whether coaches have access to both inboxes (joint and private), or only the team inbox.

  • Team inbox — Any member message sent to the team inbox can be seen and responded to by any coach with this access. Multiple coaches can jump into the same conversation.

  • Direct inbox — Members can select a specific coach to message privately, and coaches can also message members directly.


Settings

A significant permission — it allows coaches to make changes to all settings in your account, including TeamUp settings, programming settings, and more. We recommend reviewing all options under Account ➜ Settings carefully before granting this permission to coaches.


Accounts

This area contains your plan details, including GoCardless information and your PLUS status. Coaches with this permission can update this information and upgrade your account to PLUS.


CRM

Gives coaches access to the full CRM system. This includes viewing leads (name, email address, and phone number), writing notes, progressing leads through the system, seeing lead sources, and editing information on your landing page.


Business Health Dashboard

If you are integrated with TeamUp, this dashboard contains key business health data including monthly earnings and other financial metrics. With this permission turned off, coaches will have no access to any of this data.

Who can change admin permissions?

Can each coach have different permissions?

Yes. Each coach has their own login and can be configured with a completely custom set of permissions, giving you full control over what each person can see and do in your account.

Why does a coach need the Members permission to send group communications?

Creating and managing groups requires access to the member list, which is controlled by the Members permission. A coach needs both the Members and Communications permissions enabled to create groups and send communications to them (PLUS feature).

What is the difference between the team inbox and the direct inbox?

The team inbox is a shared inbox — any message a member sends to the team can be seen and replied to by any coach who has access to it. The direct inbox allows members to message a specific coach privately, and coaches can also initiate private messages with members. You can grant coaches access to one or both inboxes.

The Settings permission is a broad one — it gives access to all account settings including TeamUp settings and programming settings. We recommend reviewing everything under Account ➜ Settings before deciding whether to grant this to your coaches.
