π Lifestyle Plans are a PLUS feature. You will need an active BoxMate PLUS subscription to access this area.
π Overview
The Lifestyle section of BoxMate lets you create structured plans for your members covering nutrition tracking, habits, feelings, check-ins, workouts, videos, recipes, and more. Plans can be set up for all members, individual members, or a selected group, and can be offered free or gated behind a TeamUp membership type.
To access Lifestyle Plans, navigate to Lifestyle β Plans from the sidebar menu. This is where all your active plans will display.
π Authorizations
Coaches must have the Lifestyle permission enabled to access and manage Lifestyle Plans. If coach access is configured on an individual plan, only the selected coaches will be able to view that plan and its members' data.
π οΈ Setting Up a Lifestyle Plan
To create a new plan, click Add Plan from the Lifestyle Plans page. This opens the plan editor where you will configure all the details.
Plan Name & Type
Add a title for your plan (e.g. January Kick Start, New Member Plan, or X's July Plan) and then choose your plan type.

Group β Available to all members. Anyone with access to BoxMate (or with the required membership if it is a paid plan) will be able to see and join this plan.
Individual β Creates a custom plan for one specific member in the gym.
Selected Members β Allows you to create a custom group of selected members who will have access to the plan.
Template β Builds a Lifestyle plan with no fixed start date. The plan sits available in the app for individual members to start whenever they choose. This is ideal for onboarding plans where all new members go through the same content but start on different days.
Coach Access
Configure which coaches can access this plan. If you leave this blank, all coaches with the Lifestyle permission will be able to see and manage the plan. If you select specific coaches from the dropdown, only those coaches will have access to the plan and its member data.
Nutrition Tracking
Choose whether this plan will include nutrition tracking β for example, asking members to log calories, macros, and meals. If yes, select which metrics members will track. If no, leave the box unticked.
π‘ If you enable nutrition tracking, you will be able to assign individual nutrition targets (calories, macros, etc.) to each member once they have registered for the plan. This is covered in the Viewing & Managing Members section below.
Tokens
You can optionally add tokens to the plan. A token acts as a free pass that members can use against a metric on one day without it affecting their overall compliance score. For example, if members are required to complete 10,000 daily steps, they could use a token on a day where their step count falls short. If you do not want members to have tokens, leave this field blank.
Dates & Duration
Set the plan start date using the date picker, then enter the number of days the plan will last in the duration field (e.g. a 3-week plan = 21 days).

Plan Available Date β The date the plan becomes visible to members in the app, allowing them to start registering. You can set this to a future date to keep the plan hidden until you are ready.
Plan Registration Closed Date β The date after which members can no longer register for the plan.
Free or Paid Access
Choose whether this plan is free or paid. To keep it free and available to all members, leave the membership field empty. To gate the plan behind a TeamUp membership, add the relevant membership type(s) to grant access.
Leaderboards & Plan Chat
You can choose to enable a leaderboard so participants can see how they compare with other members (e.g. who has completed the most steps). You can also enable a plan chat, which creates a group chat for you and your members to stay in touch and share updates during the plan.
Plan Description & Image
Add a short description explaining what members can expect from the plan β this is what they will read when deciding whether to sign up. You must also upload an image to display alongside the plan in the app. The image field is required when building a plan.
π οΈ Adding Plan Content
The plan editor has several content sections where you can build out what members will experience day by day throughout the plan.
Daily Messages
Daily messages are messages that display for members on specific days of the plan. Click the plus button in the top right corner of the Daily Messages section, type the message in the pop-up, then click the red Unset button to select which day it should appear on (e.g. type 1 for day 1, type 3 for day 3).
Metrics
Click the add button in the top right of the Metrics section to open the metric pop-up. You can search through the pre-built metric library or add a new one. For each metric, enter a name (e.g. Steps), set a target (e.g. 10000), and choose whether it should be completed daily or once per week.
If a metric is non-essential, tick the Optional box β optional metrics will not affect a member's overall plan completion score.
Habits & Feelings
Habits and Feelings are configured in the same way as metrics, search the library or add your own. Feelings present members with a slider bar. In the Feelings pop-up you will find Feeling Label Low and Feeling Label High fields, these labels appear at either end of the slider in the app and are limited to 8 characters each.
For example, for a feeling of "How well rested do you feel?" you might set the labels to Tired and Well Rested.
Check-ins
Click the add button in the Check-ins section to open the check-in pop-up. Enter a brief title or description (e.g. End of Week Check In) and enter the plan day number when the check-in will occur (e.g. type 7 for day 7).
π‘ Time-saving tip: If the same check-in repeats across multiple weeks (e.g. at the end of every week), add it once, assign the day, then duplicate it and simply update the day number for each repeat. No need to rebuild from scratch each time.
In the check-in pop-up, the Check-In Requirements box lets you select what members will need to submit β such as photos, measurements, and weight.
π‘ If most members need to submit photos but one or two do not, set photos as a requirement for all and then add an individual exemption for those members. Exemptions are covered in the Managing Members section below.

Photos β When selected, an additional field appears where you can specify which progress photos members should upload. If you require multiple photo types, separate them with commas.
Measurements β When selected, an additional field appears where you can choose one or more measurements from the pre-set library. Members will be required to record these measurements as part of the check-in.
Additional Plan Content
The plan editor also lets you add the following to enrich the member experience. For videos and workouts, click the red Unset button after adding to specify which plan day the content will appear on.

PDFs β Upload PDF documents for your members to access within the plan.
Workouts β Search your workout library using the search icon to add an existing workout, or use the plus icon to build a new one to include in the plan.
Videos β Search through existing videos or add new ones to include in the plan.
Recipes β Search through your pre-built recipe library or build a new recipe to add to the plan.
π οΈ Saving & Managing Your Plan
Once you have finished building your plan, click Save. You can then return to the main Lifestyle Plans page where all your plans will be listed.
Click the three dots beneath any plan to see the following options:
View Plan β Opens the plan overview page where you can monitor member activity, read the plan chat, and see a summary of what has been built across each day.
βAnnounce β Opens the announcement pop-up to send a notification to members about the plan.
βUpdate β Opens the plan editor to make changes or edits to the plan details.
βRemove/Delete β Removes the plan entirely.
π οΈ Viewing & Managing Members
Click View Plan from the three dots menu to open the plan overview page. From here you can monitor everything happening in the plan, the activity section in the top right keeps you updated on what members are logging, and the plan chat appears below that.
Once members have registered they will appear in the Registered Members area. You can use the plus button to manually add a member, keep in mind that manually adding a member will bypass any TeamUp membership requirement for paid plans.
This is useful for members joining for free or using an alternative payment arrangement.
Click a member's name to spotlight their individual metrics and details in the middle section. To configure their personalised targets or add exemptions, click the three dots next to their name and select Configure Participant.
The Configure Participant pop-up shows all metrics and nutrition requirements built into the plan, allowing you to personalise them for each member.
You can update these targets at any point during the plan, when you do, the member will receive a notification letting them know their targets have been updated.
This is also where you can add exemptions for individual members who should not be required to log certain information, or whose missing entries should not affect their overall completion score.
β οΈ Editing a Live Plan
Once a plan has gone live there are certain elements you cannot change, as doing so would affect completion scores for members. Areas that cannot be edited will show no plus icon and will display as either Unavailable or Limited.
Limited options mean some changes are still possible, for example, you can increase a metric target but not delete a metric. So if the step goal for the whole group changes from 5,000 to 7,500 steps part way through the plan, you would update the target rather than removing and recreating the metric.

Members can find available Lifestyle plans in the BoxMate app after the plan live date by navigating to Timetable and tapping the signpost icon in the top left.
Scrolling down will show all available plans, and members can tap to register. Members can also add the Lifestyle plan as a widget on their homepage for quicker daily access.
