BoxMate Live - Instructions & Configuration

This guide covers how to use and configure BoxMate Live, the digital whiteboard for displaying sessions, workouts, and leaderboards on a big screen in your gym.

๐Ÿ“ Overview

BoxMate Live is a digital whiteboard that automatically displays your sessions, workouts, and leaderboards on a large screen in the gym. It saves coaches time writing up sessions and enhances the member experience with branding matched to your app. Live is included at no extra cost and runs as a standalone web application optimised for large screens.

To access Live, open live.boxmateapp.co.uk in a web browser on your TV, either via a smart TV's built-in browser or from an external device.

โš ๏ธ BoxMate Live works with many smart TVs and devices, but compatibility and performance cannot be guaranteed, please test before purchasing equipment. You will need a mouse (physical or on-screen) to control the application, and a keyboard is optional but recommended for shortcut access.

We recommend using Chrome from a laptop if mirroring to a TV.

๐Ÿ“บ Accessing Live

Open a web browser at live.boxmateapp.co.uk and log in using a one-time access code generated from the admin application. See the Access & Accounts guide here for full login instructions.


๐Ÿ› ๏ธ Basic Use

When Live loads, today's session from your primary programme is automatically displayed in the default Component View. This shows session details, workouts, and exercises on the left, and your members' scores on the right.

  • Use the arrow keys (or left/right on your remote) to navigate through session components.

  • Press Enter (or OK on the remote) to toggle a component into full-screen view.

  • Use Up/Down arrows (or up/down on the remote) to increase or decrease the text size.

๐Ÿ–ฅ๏ธ Programming Views

Live offers several display views. Switch between them using the views option in the sidebar, the keyboard shortcut V, or the curved arrow on your remote.

Component View - The default view. Displays session details, the workout or exercise on the left, and the leaderboard on the right.

Session View - Shows all parts of the session side by side on a single screen. Hover over a component to view options to remove or resize items.

Programme View - Shows all programmes with sessions on the selected date side by side, with listed components. You can use the hide option to modify what is displayed.

Whiteboard View - A full-screen view of your leaderboards or scoreboards split across two columns. Ideal for use on a second screen in a dual-screen setup, allowing you to display full-screen components on your main screen.

๐Ÿ’ก Press the + (Add Screen) button in the sidebar to open a new browser window which can be dragged to a second screen.


๐ŸŽฎ Component View Controls

The default Component View has its own control dock at the bottom of the screen.

To the left of the divider you have component navigation (switch left/right) with an indicator showing which component is selected.

To the right you have:

  • Full Screen Toggle

  • Text Decrease / Fit Text / Text Increase

  • Toggle Column Split

๐Ÿ”” To control where text breaks in a 2-column view, add double underscores (__) anywhere in the workout or session details to set the breakpoint.


๐Ÿ“… Switching Dates & Programmes

You can change the displayed programme and date at any time from the Live interface.

Switching Programme - Use the programmes list in the sidebar and click the desired programme. You can also press number keys 1โ€“9 on the keyboard to quickly switch by position in the list.

Changing Date - Click the calendar icon in the sidebar or press D on the keyboard. Use the arrow keys to navigate the date picker and press Enter to select.


๐Ÿ“Š Score Display Options

The sidebar provides several options to control how scores and leaderboards are displayed on your Live screen.

Click the arrow to view all score display options

Filter - Choose to display all members' scores or only scores from members in the current active TeamUp class.

Scores - Display each member's all-time best score for the selected workout/exercise, or only scores logged on the selected day.

Positions - Enabled by default, showing scores in leaderboard order (top to bottom). Disable to remove placings and show scores in the order they were logged.

Gender - Group leaderboard scores by Male/Female, or list all scores together. Members select their gender when first using the app, or choose not to, which prevents them from appearing on the standard leaderboard.

Scrolling - Enables automatic scrolling to the bottom and back to the top for each leaderboard.

Standalone - Automatically cycles through components or programmes & components on a timer interval set in Options.

Display - Sets light or dark mode to match your preference.

Add Screen - Opens a second screen in a new window to be dragged to a different display for multi-screen setups.

โš ๏ธ If the application is running slowly or lagging, keep scrolling disabled.


โš™๏ธ Options & Preferences

Select Options from the sidebar or press O on the keyboard to open preferences and view available keyboard shortcuts.

Refresh Time - How often to check for new leaderboard scores (in minutes).

Standalone Interval - Time between auto-changing components in Standalone mode (in seconds).

Default View - Select the default view for a fresh page load.

Full Screen Default - Enable for Standalone Components View to always hide leaderboards.

Max Size - Matches fitted session/programme columns to the smallest font size, preventing different font sizes showing side by side.

Screen Zoom - Set the zoom level for the whole screen to support different screen sizes and devices.

Restore All Defaults - Resets every preference on the page.

T - Toggle TeamUp Classes & Attendances

L / Enter - Toggle Leaderboards (Full Screen)

V - Switch to the next View Mode

1โ€“9 - Switch Programme (order shown in sidebar)

D - Select a new date & load sessions

S - Load the on-screen Stopwatch

P - Toggle Percentage Calculator

O - Display Options/Preferences

C - Toggle columns (Component View)


๐Ÿš€ TeamUp Integration

TeamUp integration in Live gives coaches class management features directly on the big screen. Press T or select TeamUp from the sidebar to open today's classes.

Navigate through sessions and attendances using the arrow keys on the keyboard or remote. From the attendances list you can:

  • Mark members' attendance

  • Cancel a member from the class

  • Add a member using the plus icon and searching by name

To add a new customer, click Add, search for the customer name, select them, then choose the membership to use for the booking.

Live includes built-in tools to help coaches deliver sessions from the big screen.

Stopwatch - Click the stopwatch icon in the sidebar or press S to bring up a moveable stopwatch you can use when the main gym timer is occupied.

Percentage Calculator - Press P on the keyboard or select Percentages from the sidebar. Enter a weight amount and the calculator displays a full breakdown of percentages on screen.

The screen is too zoomed in and does not look right

Use the Screen Zoom option available in Options (press O) to reduce the zoom level until the application looks correct on your screen.


The auto text size looks strange with different sizes side by side

Turn on the Max Size preference in Options. This sets the font size to always match the smallest column (the one with the most content), keeping the view consistent.

What devices can I use to run BoxMate Live?

Live runs in a web browser and works with many smart TVs and external devices. However, compatibility and performance cannot be guaranteed across all devices. We recommend using Chrome from a laptop if mirroring to a TV, and testing before purchasing new equipment.

Can I use two screens at the same time?

Yes. Press the + (Add Screen) button in the sidebar to open a new browser window, then drag it to your second screen. This is ideal for running Whiteboard View on one screen and Component View on the other.

Can I manage TeamUp classes from the Live screen?

Yes. Press T or select TeamUp from the sidebar to open today's classes. From there you can mark attendance, cancel members, and add members to a session.

How do I control where text breaks in 2-column view?
