Programming In BoxMate

This guide covers everything from creating sessions and adding workouts to and managing your programming calendar.

To get started:

  1. Navigate to Programming from the sidebar menu.

  2. Select Weeks.

By default, you'll see your current programme (for example, CrossFit, WOD, or Strength) displayed in the top-right corner.

If you want to programme for a different track, simply select the programme dropdown and switch to the desired programme.

Once you've selected the programme you want to build for, there are two ways to create sessions:

  • Individual Sessions - Click Build Session on any specific day.

  • Prepare an Entire Week - Click Actions > Prepare Week to automatically generate a week's worth of empty sessions ready for programming.

Session Visibility:

By default, newly created sessions are visible to members as soon as they are saved.

To change visibility:

  1. Click the green Eye icon on the session.

  2. Select from the available visibility options.

You can choose to either:

  • Hide the entire session

  • Hide specific parts of the session

No you can start building your session. The first section is Session Details
Within the session details section, you can add any specific Session Notes, Instructions and even a Warm-Up.

Coach notes are only visible to coaches and administrators and will not be shown to members. Any key points for your coaches to follow you can add in here for example timings for the session.

Adding Workouts:

When adding components to a session, you'll see three options.

Option 1: Quick WOD

The Quick WOD builder is ideal when you want to quickly type or paste a workout without using advanced settings.

  1. Click the stop watch icon ⏱️

  2. Select a workout type from the dropdown menu.

  3. Enter your workout details.

For example, selecting For Time will create a workout template with placeholder text.

Simply click outside the component to automatically save.

Option 2: Full Workout Builder

The middle + button opens the Full Workout Builder, giving you access to advanced workout creation tools and configuration options.

Use this when you need greater control over your workout structure.

Option 3: Add from Your Library

The third button allows you to search your existing workout and exercise library.

For example:

  1. Start typing Fran.

  2. Select the workout from the results.

  3. It will instantly be added to the session.

This is perfect for frequently programmed workouts and benchmark sessions.

To add an exercise:

  1. Search for the exercise name (e.g. Deadlift).

  2. Select the exercise.

Using Working Sets:

Working sets allow members to log each set individually rather than entering a single score.

Example: Creating a 5 x 5

  1. Search for an exercise such as Thruster - 5RM.

  2. Click the blue Sets button.

  3. Enter: 5x5

  4. Then Save.

This creates a simple 5 sets of 5 structure without percentages.

Using Smart Percentages

To prescribe weights based on each member's personal scores:

  1. Click the blue Sets button.

  2. Click Smart.

  3. Enter:

    • Sets: 5

    • Reps: 5

Fixed Percentages:
Enter a percentage such as: 80. This programmes 5 sets of 5 at 80%.

You can also add a maximum percentage, such as: 85. This displays a working range of 80–85%.

By default, the exercise's associated 1RM is selected as the target lift, but you can change this to any other exercise variation if required.

Variable Percentages:

Select Variable to automatically increase percentages each set.

For example: Start at 70% & increase by 2% per set

For more percentage options and flexibility when adding a number of set and reps, select Manual.

Here you can individually configure:

  • Repetitions

  • Percentage ranges

  • Number of Sets

Top Tips:

  • Leave percentage fields blank to prescribe reps only.

  • Enter 0 reps to indicate a max-rep effort.

For customised sets in the programming:

  1. Select the target exercise.

  2. Add each set individually.

  3. Define reps and percentage ranges per set.

You can also:

  • Duplicate sets

  • Edit existing sets

  • Reorder sets using the arrow controls

💡 Top Tip: All components can be reordered using the up and down arrows within the session.

The red Options button allows you to;

  • Add a component title (e.g. "Workout A")

  • Add component notes

  • Set a component as Featured

  • Assign an RPE

  • Set the next Component as a superset

Featured Components: When marked as Featured, the component will appear prominently on the member app homepage.

Assigning RPE: Use the slider to set the intended Rate of Perceived Exertion (RPE) for the workout.

Components can also be dragged and dropped between sessions and days, making it easy to restructure your programming week.

Click the arrow at the top of the session for additional session options:

  • Open the Full Screen Session Editor

  • Delete the Session

  • Insert a Detail Component

Customise Your Weeks View:

In Weeks View you can also choose which days of the week are displayed,

To customise which days appear in Weeks View:

  1. Navigate to Programming > Weeks.

  2. Click the Settings icon next to the date in the top-left corner.

Days that are currently visible in Weeks View will be highlighted.

  1. Click any day to show or hide it from the view.

  2. Your changes will be applied immediately.

This can be useful if your gym only programmes on certain days or if you'd like to simplify your planning view.

Troubleshooting Missing Days:

If a day appears to be missing from Weeks View:

  1. Open the Settings menu.

  2. Check whether the missing day is highlighted.

  3. If it isn't highlighted, click it to add it back to the view.

Once selected, the day should immediately appear in Weeks View.

If the day is already selected but still isn't visible:

  • Refresh the page and check again.

  • Try deselecting and reselecting the day.

Calendar View:

Click Calendar in the top-right corner to access a full programming overview.

Calendar View allows you to:

  • View all programmes and sessions at once

  • Drag and drop sessions between dates

  • Quickly reorganise programming

Clicking on any session on the calendar to open it in the side panel.

From here you can:

  • Edit programming

  • Update workout details

  • Make changes in real time

Building Directly from the Calendar:

To create sessions directly from Calendar View:

  1. Select the programme in the top right corner.

  2. Click on any date.

  3. Begin building your session immediately.

Additional Programming Options:

CSV Upload:

If you prefer working in spreadsheets, you can upload programming using a CSV file.

Third-Party Programming:

You can also import programming directly from the BoxMate Marketplace if you subscribe to one of our supported programming providers.
