Managing the Video Library

Manage a standalone video library for linked or uploaded videos.

Whilst BoxMate has always supported attaching videos to exercises, sessions, and more, the latest update introduces the long-awaited standalone Video Library feature.

Important: By default, your existing uploaded BoxMate videos will not automatically appear in the Video Library. This article explains how to update these videos later on.


Configuring Your Video Library

As with many BoxMate features, the Video Library can optionally be restricted behind a TeamUp membership, allowing you to offer it as a premium feature to members.

If you would like the Video Library to be available to all members, you can skip to the next section, as the Video Library is publicly accessible by default.

Restricting Access with TeamUp

To restrict access to the Video Library:

  1. Navigate to Account > Settings from the sidebar in your admin area.

  2. Select the TeamUp tab.

  3. Locate the Video Library Access card.

  4. Select one or multiple memberships that members must have at least one of to access the Video Library.

Members without a qualifying membership will see a pop-up prompting them to purchase one of the selected memberships before they can continue. They will not be able to bypass this screen until a qualifying membership has been purchased.


Uploading a Library Video

To add and manage videos:

  1. Navigate to Media from the sidebar in the admin area.

  2. Select the Videos tab at the top of the page.

  3. Click Add Media in the top-right corner.

This will open the upload window, where you can choose how you would like to add your video.

Upload Methods

There are two ways to add videos to BoxMate:

Link

The Link option allows you to embed videos hosted on third-party platforms such as YouTube or Vimeo.

  1. Paste the video URL into the text box.

  2. BoxMate will automatically identify the video type.

If the video type displays as Unsupported, this can mean one of 2 things:

  1. The URL entered is incorrect

  2. The video hosting platform is not currently supported by BoxMate.

Upload

The Upload option allows you to upload your own video files directly to BoxMate.

  1. Click Browse to open your file explorer.

  2. Select your chosen video file.

  3. The selected video will then populate the upload field.

The maximum upload size for videos is currently 50MB. If your file exceeds this limit, you will receive an error message.

Pro Tip

If your video exceeds the upload limit, you can:

  • Compress the file using a third-party video compression tool

  • Reduce the video quality or resolution

  • Upload the video to YouTube and embed it using the Link option instead.

Configuring Video Options

Once your video has been selected, the next step is configuring the video settings.

Media Title

The Media Title is the name assigned to the video.

Although optional, we strongly recommend adding a title, as this improves the user experience when members search for videos within the app.

Video Library Availability

To display a video inside the standalone Video Library, you must change the Video Library Availability dropdown to:

Available in Video Library

By default, this setting is set to Not Available, so make sure to update this before uploading the video if you want it visible to members.

Existing Videos

Existing videos uploaded before this feature release will not automatically appear in the Video Library.

To make historic videos visible, you will need to edit each video individually and update the availability setting to Available in Video Library.

If you would like this updated in bulk across all existing videos, please contact our support team and we can assist directly through the database.

Video Categories

Video Categories work similarly to playlists, allowing you to group videos for easier viewing and filtering within the members app.

The first time you upload a video, the category dropdown will be empty. This is because categories are fully customisable.

To create a new category:

  1. Type the category name into the input field.

  2. Click Add Item.

The category will then be assigned to the uploaded video and will become available for future uploads.

For example, after creating a category called Movement Standards, it will appear as a selectable option whenever you upload future videos.

Completing the Upload

Once you have:

  • Selected your video,

  • Configured the video settings

  • Assigned any categories

click Upload Video.

If the upload is successful:

  • A confirmation pop-up will appear

  • The upload window will close

  • Your video will appear in the Videos list.

Navigating the Media > Videos Tab

The Videos tab includes several filters and search tools to help you manage your content efficiently.

Library Access Filter

This filter allows you to display:

  • All videos,

  • Videos available in the standalone Video Library

  • Videos not available in the Video Library

Videos that are not available in the Video Library are referred to as Assigned videos.

Video Category Filter

This filter allows you to display videos assigned to a specific Video Category.

Search Functionality

The search bar allows you to search for videos by title.

This is another great reason to ensure your videos are clearly named when uploading them.
